Technologies of Voice Interface Ltd., together with our affiliate, Voiceitt, Inc. (collectively, “Voiceitt,” “we,” “us,” or “our”), respects your privacy and is committed to protecting your Personal Information (defined below). This Privacy Policy explains what information we collect when you visit our websites at www.voiceitt.com or www.web.voiceitt.com (collectively, our “Website”) or use our Apps or Services, and how we collect, use, maintain, and protect that information. It also describes your options for managing your Personal Information, including correction, deletion, and opting out of specific uses.

Voiceitt provides speech recognition technologies, products, and services to those with non-standard speech (collectively, the “Services”).

1. SCOPE OF THIS PRIVACY POLICY

This Privacy Policy applies to all Personal Information collected through your use of (A) our Website(s), (B) our mobile or desktop applications, extensions, integrations, or other offerings (collectively, “Apps”), (C) our Services and/or (D) through communications with us (email, phone, chat, text, etc.).

Please read this policy carefully to understand our policies and practices regarding your information and how we will treat it.

By accessing or using our Website, Apps, or Services, you expressly consent to the collection, use, and sharing of your Personal Information as described in this Privacy Policy. If you do not accept the terms of this Privacy Policy, we will be unable to provide you with our Services.

DO NOT USE OUR WEBSITE, APPS, OR SERVICES IF YOU DO NOT ACCEPT ALL OF THE TERMS OF THIS PRIVACY POLICY.

This Privacy Policy is incorporated into Voiceitt’s Terms of Service (“Terms of Service”). Capitalized terms used but not defined in this Privacy Policy have the meanings assigned to them in our Terms of Service.

2. UPDATES TO THIS PRIVACY POLICY

This Privacy Policy will change from time to time. Updates to this Privacy Policy will be posted on our Website. The date the Privacy Policy was last revised is at the top of the page.

Material changes will be communicated via email to the email address specified in your account or via notice on the Website. These updates will apply to both previously collected Personal Information and any new data collected thereafter.

BY CONTINUING TO USE OUR WEBSITE, APPS, AND/OR SERVICES, YOU ACCEPT THE MOST CURRENT VERSION OF THIS PRIVACY POLICY.

You are responsible for ensuring we have an up-to-date, active, and deliverable email address for you, and for periodically visiting our Website and this privacy policy to check for any changes.

3. WHAT INFORMATION WE COLLECT AND HOW WE COLLECT IT

As database controller, we collect several types of information from individuals who visit our Website or use our Apps and Services (collectively, “Users”).

Access to your Personal Information is strictly limited to authorized Voiceitt personnel who require this information to perform their duties, including employees, contractors, and vendors responsible for customer support, technical operations, billing and payments, legal compliance, and data security. All such personnel are bound by confidentiality obligations and receive training on the proper handling and protection of Personal Information.

Below is a summary of the types of information collected and our collection methods:

1.1 TYPES OF INFORMATION COLLECTED.

We collect the following types of information:

A. Personal Information: Any data or information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular person or household. This includes your name, date of birth, email address, phone number, account credentials, IP address, and other identifiers (“Personal Information”).

B. Non-personal information: Information that cannot be reasonably used on its own to identify you or your household, such as technical data about your internet connection, device type, browser type and version, operating system information, and usage statistics.

We collect your information through the following methods: (i) information you provide to us, (ii) information automatically collected when you interact with our Website, Apps, or Services, and (iii) information collected from third-party partners.

If we combine non-personal information with Personal Information, the combined information is treated as Personal Information.

1.2 INFORMATION YOU PROVIDE TO US.

We collect the information you voluntarily provide when you register, use our Website, Apps, or Services, fill out forms, complete transactions, or otherwise communicate with us, as identified below. Depending on where you live, some of this information may be classified as a special or sensitive category of personal data. Where this is the case, we will process and protect it in compliance with applicable laws. You are not required to provide health-related, sensitive information, or voice recordings. However, if you do not voluntarily provide your voice recordings, we will be unable to provide you with our Services.

If you voluntarily provide such data, you may withdraw your consent by contacting support@voiceitt.com.

Types of Information you provide to us:

A. User Information: Name, email address, phone number, date of birth, account credentials, gender, country and state of residence, optional health information related to speech (if applicable), self-reported understandability of speech, self-reported classification of User, IP address, and other voluntarily provided details.

B. User’s Voice Recordings and Text Recordings: Audio recordings of your voice provided intentionally by you through our Services, along with text transcripts and/or annotations associated with these recordings. We do not record your voice in the background or without your explicit action. We splice and process your voice into shorter (typically 1 to 3-second) segments (the “Audio Signals”). We save these Audio Signals. We also save the associated text transcripts or annotations of the Audio Signals. Providing recordings is voluntary, but necessary for our Services. If you do not voluntarily provide your recordings, we will be unable to provide you with our Services.

C. Guardian information (if applicable): If a User is under 16, we collect the following information from the User’s parent/ legal guardian during the consent process, including the guardian’s name, date of birth, relation to User, postal address, email, and phone number. If you do not provide parental/guardian information and consent, we will be unable to provide you with our Services.

D. Correspondence: Records of your communications with us, including emails, messages, or other submitted content.

E. Transaction details: Details about transactions and orders completed through our Website or Apps. Payment details are processed securely by third-party payment providers.

F. Support Personnel Information (optional): Some Users may designate a caregiver, assistant, or other support person to help them use our Website, Apps, and/or Services. With the explicit prior consent of such support personnel, Users may voluntarily provide us with their contact information, including name, email address, and/or phone number. This information is used solely to facilitate support-related communications and is handled in accordance with this Privacy Policy. Providing support personnel information is optional and does not affect a User’s ability to access or use our Website, Apps, or Services.

G. Other Optional Information: Information submitted through forms, surveys, or responses to inquiries.

1.3 AUTOMATICALLY COLLECTED INFORMATION.

When you interact with our Website, Services, and/or Apps, we may automatically collect the types of information listed below.

A. Device and Traffic Data: IP address, device identifiers, device type, browser information, operating system, microphone information, connection type, bandwidth, and page views.

B. Usage and Activity Data: Details of interactions with our Website, Apps, and Services, including session statistics, location data (approximate or precise), logs, and preferences.

C. Metadata: Technical data associated with content created or interactions with our Services (e.g., creation timestamps, formatting information, geographic location).

D. Analytics Data: Performance metrics collected to operate and maintain our Website, Apps, and/or Services.

To collect this information, we use automated data collection technologies, including cookies, tokens, local storage, and similar technologies. Cookies are small text files placed on your computer or device that enable

us to recognize your browser or device and remember certain information, enhancing your experience. Web Beacons are small electronic files (also known as clear gifs or pixel tags) embedded in our web pages and emails, allowing us to track page visits, email openings, and gather related website analytics. You can choose whether to accept cookies and other web technologies by changing the settings on your browser. However, if you choose to disable these functions, your experience using our Services may be diminished, and some features may not work as intended.

A NOTE ON COOKIES AND OTHER SIMILAR TECHNOLOGIES: We use only essential (strictly necessary) cookies, tokens, secure local storage, or similar technologies to operate and maintain our Website, Services, and/or App. Among other things, these technologies help us keep you signed in, maintain site security, and recognize returning Users. We do not use analytics tools, advertising trackers, pixel tags, social media plugins, device fingerprinting, or other technologies that track your behavior across sites or devices. By using our site, you agree to the use of these essential technologies.

1.4 INFORMATION FROM THIRD-PARTIES.

When you interact with our Website, Apps, and/or Services, we may collect certain information from third-party partners, including:

A. Integrated Services: If you choose to connect our Apps or Services with third-party platforms (e.g., Zoom, Microsoft, WebEx, Google Chrome, ChatGPT), you authorize us to collect information shared by these platforms, such as your name, email address(es), profile picture, gender, city, and time zone. Review the privacy settings of each integrated service to manage your preferences. You should check your privacy settings on each Integrated Service to understand what information that Integrated Service may make available to us and make changes as appropriate.

B. Information from other Sources: We may obtain information, including Personal Information, from third-parties and sources other than the Services, such as our Resellers, and integrated service partners.

4. HOW WE USE YOUR INFORMATION

We use the information we collect about you or that you provide us, including your Personal Information and your voice and/or text recordings, for the purposes detailed in this Section 4.

Our goal in using and sharing information is to create better services for non-standard speakers. We only collect and retain data that is relevant, adequate, and limited to what is necessary for the purposes for which it is processed.

1.5 PROVIDING AND IMPROVING OUR WEBSITE, APPS, AND SERVICES. Primarily we use your Personal Information, Voice Signals and associated transcripts and annotations to provide you our Services and to operate, maintain, and enhance the quality of our Website, Apps, and Services, so that we can (i) deliver personalized and accurate Services tailored to your speech patterns and preferences and (ii) improve the performance of our Services for you and other Users. We use this information to:

A. Deliver personalized speech recognition Services that can recognize, analyze, and learn your speech characteristics, enabling us to interpret and respond to your spoken commands and interactions accurately.

B. Train and refine machine learning and artificial intelligence (AI) models. We utilize the Voice Signals and related transcripts, annotations, and metadata (such as speech patterns, pronunciation characteristics, regional dialects, accent information, and contextual speech data) collected directly from your voice submissions through your intentional interactions with our Website, Apps, or Services.

C. Troubleshoot technical issues and improve performance. We use your information to diagnose and resolve technical issues, analyze performance metrics, and integrate User feedback, continually enhancing functionality, stability, and your overall experience.

D. Create modified copies and/or derivative works. We may create anonymized, aggregated, or modified versions of your voice and text recordings to optimize our speech-recognition technologies and Services.

NOTE ON AI PROCESSING: We may use artificial intelligence (AI) and machine learning technologies to process your Personal Information, including your Audio Signals and associated text transcripts and annotations, for the following purposes:

  • To deliver accurate, personalized speech recognition tailored to your unique voice and speech patterns.
  • To train, improve, and refine our AI models and speech recognition algorithms over time.
  • To enhance the performance, accessibility, and overall User experience of our Services for all Users.

Categories of personal data processed by our AI algorithms include:

  • Audio Signals and associated text transcripts and annotations.
  • Metadata relating to speech (e.g., dialect, accent, pronunciation details).
  • Technical and usage data, including device type, interaction patterns, IP address, and session statistics

We collect this data with your express consent (when you voluntarily provide us voice recordings and information) and/or as necessary for our legitimate interests in improving our Services, based on metadata and technical logs automatically generated during your use of our Website, Service, and/or Apps.

Voiceitt retains all rights, titles, and interests in any AI models, outputs, and derivative works created using your data, Voice Signals, and related transcripts, annotations, or metadata, provided such outputs do not identify you personally. Where applicable, data used for AI training is anonymized, aggregated, or de-identified before reuse.

1.6 OTHER PURPOSES. We use information that we collect about you or that you provide to us, including your Personal Information and your voice and/or text recordings, for the following purposes:

A. Customer Support and Communications. To respond to your inquiries, provide customer service, and communicate administrative, service-related updates, or important notices.

B. Safety, Security, and Fraud Prevention. To ensure the security of our Website, Apps, and Services, verify your identity, and protect against fraud, unauthorized access, and illegal activities.

C. Analytics and Usage Trends. To monitor, analyze, and understand User behaviors and trends, enabling us to continually improve our offerings.

D. Advertising and Marketing. To provide you with updates about our products and Services, personalize marketing communications, and measure their effectiveness.

If you have opted in to our marketing communication, you may opt out anytime by clicking the “unsubscribe” link provided in emails or contacting us at support@voiceitt.com. If you are a registered User, you may continue to receive essential administrative or service-related communications even if you opt out of marketing messages.

E. Updates and Notifications. To notify you about significant changes or updates to our Website, Apps, Services, or other product offerings.

F. Enforcement and Legal Obligations. To enforce compliance with our Privacy Policy, Terms of Service, and other applicable policies, fulfil contractual obligations, and protect our legal rights, including billing and collections.

G. Other Purposes. To fulfil any additional purpose explicitly disclosed when you provide your information to us.

1.7 SUMMARY OF PURPOSE, LEGAL BASIS, AND USER CONTROLS. All processing activities described in this Section 4 comply strictly with applicable laws, and your Personal Information is handled confidentially with robust data security measures in place.

Our goal in using and sharing information is to create better Services for you and other non-standard speakers. Certain jurisdictions have regulations, such as the EU’s General Data Protection Regulation (“GDPR”), that only allow for processing Personal Information where a legal basis has been established.

5. DISCLOSURE OF YOUR INFORMATION

1.8 NON-PERSONAL AND/OR DE-IDENTIFIED INFORMATION. We may freely use, process, share, sell, transfer, license, or otherwise disclose non-personal information, aggregated data, and anonymized or de-identified data for any lawful business purpose without additional consent. Such information may include Voice Signals and associated transcripts and annotations stripped of direct identifiers or sensitive context to ensure they cannot reasonably identify or be linked to any specific individual or household. For example, we may license anonymized Voice Signals and associated transcripts and annotations to third-parties for research purposes or use them internally to train and improve our speech-recognition systems.

Depending on where you live, we will process and protect de-identified information in accordance with applicable data protection laws. We implement safeguards and procedures to ensure that any anonymized or de-identified data cannot reasonably be used to identify you. 1.9 PERSONAL INFORMATION. By using our Services, you acknowledge and agree that we may use, process, share, transfer, sell, or otherwise disclose your Personal Information (including transfers outside of your jurisdiction) as described in this Privacy Policy. Specifically, we may disclose your Personal Information:

A. Affiliates. To our affiliates, including our joint controller, Voiceitt, Inc., as necessary to provide our products and Services, manage our business operations, and maintain accurate User records.

B. Service Providers. To our third-party vendors, contractors, and service providers who support our business operations. These third-parties only have access to the information necessary for their services. They are contractually bound to maintain the confidentiality and security of your Personal Information and use it only for specified purposes. Examples of third-party service providers include:

(i) Cloud infrastructure providers (e.g., data hosting, storage, and processing services);

(ii) Audio annotation providers (e.g., vendors supporting the labeling or transcription of voice data);

(iii) Software development and engineering contractors;

(iv) IT and cybersecurity service providers (e.g., to maintain and secure our systems);

(v) Customer support service vendors (e.g., tools or call centers handling User communications);

(vi) Payment processors (e.g., to process transactions for paid features or subscriptions);

(vii) Marketing and email automation platforms (used to send communications on our behalf);

(viii) Analytics providers (used to measure performance and optimize our Services);

(ix) Resellers and distribution partners (where applicable, to facilitate access to our Services through third-party channels).

C. Change of Control. In connection with a merger, acquisition, divestiture, restructuring, reorganization, dissolution, or sale or transfer of all or part of Voiceitt’s assets (each, a “Change of Control Event”), including in cases of bankruptcy or liquidation, User information, including your Personal Information, Audio Signals and associated data, may be transferred or disclosed to the acquiring or successor entity(ies) in connection with the Change of Control Event. Any successor entity will be bound by the terms of this Privacy Policy or required to provide you with notice of material changes and an opportunity to exercise your rights under applicable law.

D. Commercial Transactions. We may share your Personal Information with educational institutions, non-profit organizations, and for-profit companies conducting research or developing products and services designed to support non-standard speakers or improve accessibility for broader populations. For example, we may license or share your email address and/or voice and text recordings with companies working on technologies that facilitate communication or product interaction for individuals with atypical speech patterns. We may also share information with organizations engaged in artificial intelligence research or development related to non-standard speech.

If we provide your Personal Information and/or Audio Signals to third-parties as described in this Section 5.2D, we will limit the information we share and anonymize the Audio Signals as much as possible. That means we remove file data or metadata that could be used to identify you personally. We cannot, however, guarantee that we will be able to eliminate all Personal Information you share within your voice recordings.

You may withdraw your consent or opt out of this type of data sharing at any time by contacting us at support@voiceitt.com and providing your name, account email address, and opt out request. Opting out will not affect your account status or ability to use our Services. For details on how to opt out, please see Section 1.10 below.

E. Legal Requirements. To comply with applicable laws, court orders, government requests, or legal processes, or to enforce compliance with this Privacy Policy, our Terms of Service, or other agreements, including for billing and collection purposes.

F. Other Purposes. For any other purpose disclosed at the time you provide your Personal Information or with your explicit consent.

Except as permitted in this Privacy Policy, as required by law, or with your consent, we will not share or transfer your Personal Information to third-parties for any other processing purpose.

6. TRANSFER AND STORAGE

We operate and may continue to operate in several jurisdictions around the world. The server on which your Personal Information is used and stored may not be in your jurisdiction. By using our Services, you acknowledge and agree that we may transfer your Personal Information inside and outside your jurisdiction for the purposes described in this Privacy Policy. When we transfer your Personal Information internationally, we will do so securely and in accordance with applicable laws.

7. CONTROL OVER YOUR INFORMATION

Your data rights may vary depending on your jurisdiction. We recommend consulting local laws or legal counsel to understand the rights applicable to your situation. To exercise your rights or if you have questions, please contact us at support@voiceitt.com. For your protection, we may require reasonable proof of your identity before processing requests.

In certain jurisdictions, you may have additional privacy rights, which may include the right to restrict processing, the right to data portability, and the right to object to processing. For more information about specific rights, see Section 10, below.

1.10 OPTING OUT OF COMMERCIAL TRANSACTIONS. If you do not want Voiceitt to sell or otherwise share your Personal Information for the commercial purposes described in Section 5.2D, “Commercial Transactions,” you can opt out by contacting us at support@voiceitt.com and providing your name, account email address, and opt out request. Opting out will not affect your account status or ability to use our Services.

Opting out of commercial transactions will not prevent Voiceitt from sharing your Personal Information in connection with a business transfer or Change of Control, as described in Section 5.2C. Unless otherwise restricted by controlling law, opting out also does not restrict Voiceitt from using or sharing non-personal or de-identified information, including Voice Signals and associated transcripts and annotations that are stripped of direct identifiers or sensitive context to ensure they cannot reasonably identify or be linked back to any specific individual or household.

1.11 EMAIL COMMUNICATION PREFERENCES. You may opt out of marketing emails from Voiceitt at any time by clicking the “unsubscribe” link provided in emails or contacting us at support@voiceitt.com. Please note: You may not opt out of essential administrative or service-related communications (e.g., account verification, transactional emails, introductory sign-up messages, changes/updates to features of the Services, technical and security notices).

1.12 ACCESSING, MODIFYING, AND DELETING YOUR PERSONAL INFORMATION. You may review and update your Personal Information anytime by logging into your account and visiting your profile settings. Alternatively, you can request access, corrections, or deletion of your Personal Information by contacting support@voiceitt.com and providing your name, account email address, and description of the data you want a copy of, or modified or deleted.

When providing copies of your information, we may charge you a fee if permitted by law. If we cannot provide you with all the information you request, we will do our best to explain why.

A NOTE ON DELETING YOUR INFORMATION: (i) we must delete your entire User account to remove your Personal Information, (ii) deleted information cannot be restored, and (iii) Personal Information shared or distributed according to your privacy settings may remain accessible to others. If necessary, we may retain certain Personal Information post-deletion to comply with legal obligations, regulatory requirements, dispute resolution, security purposes, fraud prevention, or enforcement of our Terms of Service. Non-personal or de-identified data may be retained indefinitely.

8. DATA RETENTION

We retain your Personal Information only for as long as necessary to fulfill the purposes described in this Privacy Policy or as required by applicable laws. Once these purposes are met or obligations fulfilled, we securely delete or anonymize your data.

When deciding how long to store Personal Information, we consider the amount, nature, and sensitivity of the Personal Information, the potential risk of harm from unauthorized access, the purposes for which the Personal Information was collected, as well as applicable legal requirements. Please note that we may delete information from our systems without notifying you first. Retention by any of our service providers or subcontractors may vary in accordance with each business’s retention policy.

In some circumstances, we may store your Personal Information if required by law (e.g., to fulfill tax or audit requirements) or to keep accurate records of our interactions if there is a prospect of litigation relating to your Personal Information. In such cases, we will maintain the same security measures described above.

We may indefinitely retain non-personal, aggregated, anonymized, or de-identified information.

9. DATA SECURITY

We have implemented measures designed to secure your Personal Information from accidental loss and unauthorized access, use, alteration, and disclosure, including:

A. Safeguards: The physical, electronic, and procedural safeguards we employ to protect your Personal Information include secure servers, firewalls, antivirus software, and data encryption at rest and in transit.

B. Access Control: We dedicate efforts to properly managing system entries, and data is secured with two layers of security: VPN access and Auth0 authentication/authorization. We also limit access to authorized personnel on a need-to-know basis of least privilege rules, review permissions regularly, and revoke access immediately after employee termination.

C. Internal Policies: We maintain and regularly review and update our privacy-related and information security policies.

D. Personnel: We require new employees to sign non-disclosure agreements according to applicable law and industry customary practice.

E. Database Backup: Our databases are backed up periodically for specific data and are verified regularly. Backups are encrypted and stored within the production environment to preserve their confidentiality and integrity, are tested regularly to ensure availability, and are accessible only by authorized personnel.

Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your Personal Information, we cannot guarantee the security of your Personal Information transmitted to our Website. Any transmission of Personal Information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Website.

The safety and security of your information also depend on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential. Never share your password with anyone.

If your Personal Information is compromised due to a security breach, we will promptly notify you, as required by applicable law(s).

10. PRIVACY RIGHTS UNDER CERTAIN LAWS

Residents of certain jurisdictions, such as the European Union (EU), European Economic Area (EEA), United Kingdom (UK), California, Colorado, Connecticut, Virginia, and Utah, may have additional privacy rights.

For your protection, we may require reasonable proof of your identity before processing requests.

1.13 YOUR RIGHTS UNDER THE CCPA (California Residents)

If you are a California resident, you may have the right to:

A. Know & Access: Request details on the Personal Information we collect, as well as the sources, purposes, and categories shared.

B. Delete or Correct: Request deletion or correction of your data, subject to legal and business exceptions.

C. Do Not Sell/Share: Restrict the sale of your Personal Information or the sharing of your Personal Information for targeted advertising.

D. Limit Use of Sensitive Data: Request limitations on using certain sensitive Personal Information.

E. Non-Discrimination: Exercise your rights without adverse treatment.

Voiceitt does not sell or share Personal Information in the manner defined by the California Consumer Privacy Act (as amended by CPRA), such as for cross-context behavioral advertising.

You can request deletion of your Personal Information by contacting support@Voiceitt.com. Please understand that Voiceitt cannot delete information required for business purposes as permitted by CCPA and other applicable laws and regulations. If this applies, we will retain your information in accordance with our records retention program and securely delete it at the end of the retention period.

If you are a California resident, you may also exercise your privacy rights or authorize another person to act on your behalf by contacting Voiceitt using one of the methods above.

1.14 ADDITIONAL U.S. STATE RIGHTS

Residents of certain U.S. states may have additional rights under state-specific laws or other applicable regulations. 1.15 YOUR RIGHTS UNDER THE GDPR (EEA, UK, and Swiss Residents)

11. SPECIAL NOTE ABOUT CHILDREN’S INFORMATION

We are committed to protecting the privacy of children and complying with applicable laws. We comply with the Children’s Online Privacy Protection Act (COPPA) in the United States and similar laws in other jurisdictions. We do not knowingly collect Personal Information from children under sixteen (16) without verifiable parental consent. If you become aware that an individual under sixteen (16) has registered without parental permission, please advise us immediately. If we become aware that we have collected Personal Information from a child without proper consent, we will take immediate steps to delete it.

Depending on your state of residence, you (as a parent or guardian) may be able to exercise certain rights over your child’s account, such as the right to review, request deletion, and control the sharing of their Personal Information. To the extent a User is accessing the Services through an account established and paid for by a third-party entity separately contracted with Voiceitt, such as a school, school district, or educational institution, the terms of that third-party contract or data processing agreement (DPA) will control how we collect, use, and disclose Personal Information for those Users. In the event of a conflict between this Privacy Policy and the terms of such third-party agreement, the terms of the third-party agreement will govern.

How We Use this Data: We mainly use this data to generate aggregated analytics data about the use of our site so we can maintain and improve the site and develop new products or services. We also use statistical data to prevent fraud and protect the security of our site. Some cookies may be used to provide you with advertising for our products based on your preferences and interests. One of the tools we use to collect and analyze this data is "Google Analytics". Legal Basis: We process this personal data based our legitimate interests to develop and improve our products and services, and to prevent fraud. When we collect your activity data to advertise to you, we do so on the basis of our legitimate interest to market our own products and services.   1. Users. If you are a user of our services, we collect the following types of personal data from you.

  1. Registration Data. In order to use our services, you will be required to register. As part of registration, you will be asked to provide your name, email address, and a password. You may choose to provide additional information such as your age, native language, country, information about your health and diagnosis (see 'Special Categories of Data' below), as well as information about your speech characteristics. If you are registering an account for a minor, we may request that you provide verifiable consent by submitting a signed parental consent form via email. In such case, we will collect any additional information provided on such consent form. 

How we Use this Data: We use your registration information to allow you to access to our services, save your preferences, protect the security of our services, prevent fraud, and address any issues that arise. We use your contact details to communicate with you about our services.

Legal Basis: When we process your registration data to provide you with our services, we do so to perform a contract with you, in this case our Terms of Service. When we process your registration data to maintain our services, including to prevent fraud, protect the security of and/or address issues with our services, we do so on the basis of our legitimate interest to maintain our assets.

  1. Purchase and Transaction Data. When you purchase a Subscription, we may collect information such as the date and time of your transaction, amount of your transaction, and other order details.

How we Use this Data: We use this personal data in order to provide you with the services.

Legal Basis: We process this personal data for the purpose of providing the services to you, which is considered performance of a contract with you, namely our Terms of Service, including providing customer support.

  1. Activity and System Data (Cookies). We collect data about your device and your activity, as described more fully above in section 1.1.2, when you use our app, as well as data about your actual usage and related account activity, including, but not limited to, your last login time, duration of login and list of activities performed by you. 

How we use this data: (1) to review usage and operations, develop new products or services and improve current content, products, and services; (2) to prevent fraud, protect the security of our services, and address any problems with the services.

Legal Basis: We process this personal data for our legitimate interests to review the usage of our services and perform analytics in order to develop and improve our products and services, as well as to prevent fraud, maintain our internal records, and to protect our legal rights.

  1. Voice Recordings and Text Recordings. The services allow you to record speech and upload the recordings to create a translation of non-standard speech into recognizable speech. In addition, we may also collect a text version of your voice recordings, as well as text matching the recognizable speech of such recordings. For more information about your rights in connection with your voice recordings, please see the "Your Rights – How to Access and Limit Our Use of Certain Personal Data" section below.

How we use this data: (1) to provide you with the services, including to learn to recognize your individual speech patterns, (2) to train our machine learning algorithms, troubleshoot issues, to analyze and improve our products and services; and (3) to tailor our services to your needs and the needs of other users. If you have consented to such use, we may also share, modify, make derivate works of, or commercialize your voice recordings.

Legal Basis: When we process this personal data to provide you with our services, this is considered the performance of a contract with you. When we process your recordings to troubleshoot and/or improve our services generally, we do so based on our legitimate interest to develop our products and services, review the usage of our services, perform analytics, maintain internal records, and protect our legal rights. When we use your voice recordings in any other way, we do so based on your consent. Under certain circumstances, voice recording may be "special categories of data" and subject to additional protections under law. We will only collect voice recordings if you give us your explicit consent. You may withdraw your consent, however, if you do, we will not be able to provide you with the services.

  1. Optional Additional Health Data – In the course of providing our services to you, you may choose to provide us with additional data concerning your health, which is considered to be "special categories of data" and is subject to special protections under the law. We will only collect such data if you provide your consent.

How we use this data: We use this data in order to improve our services and tailor our services to your needs and the needs of other users.

Legal Basis: We process this personal data based on your explicit consent. You may withdraw your consent by contacting us at support@voiceitt.com. We will process your request as soon as reasonably possible, however it may take a few days for us to update our records before any opt out is effective.

  1. Our Marketing Activities. As described above, we may use personal data we collect for advertising and marketing purposes. We try to limit the marketing material we send to a reasonable and proportionate level. Below we describe how you can control the marketing material you receive from us.

  1. Email Marketing and Services Communications

  1. We use your contact details to send you informational newsletters about our products and services.

  1. You can stop the delivery of all marketing emails by following the "unsubscribe" link in any messages we send you. Alternatively, you can contact us at support@voiceitt.com to request to unsubscribe. 

  1. Note that if you are a registered user, we may need to contact you about administrative or service-related issues as part of the services we provide to you. This is not marketing communication and you will continue to receive these messages even if you opt-out of marketing emails.

  1. Web Ads

  1. We serve online ads based on the activity data we collect using cookies. You can change the way your browser manages cookies by adjusting the settings on your browser as explained below in the How to Adjust Your Preferences section.

  1. We may also use social media plugins, which will allow social media platforms to link personal data collected through our site with personal data in your social media profile. This combined data may be used to serve you with advertising or customized content on the applicable social media platform. We recommend that you routinely review the privacy notices and preference settings that are available to you on social media platforms you use.

  1. Sharing the Personal Data We Collect. We share your information, including personal data, as follows:

  1. Affiliates. We share your personal data, with our affiliated company and joint controller, Voiceitt, Inc. where this is necessary to provide you with our products and services and so that we can manage our business, such as to keep updated records of our users.

  1. Service Providers. Below is a list of the types of service providers we use, the service each provides, and the types of data shared with each. All service providers have agreed to confidentiality restrictions and have undertaken to use your personal data solely as we direct.

Advertisers are able to combine the personal data they collect independently with personal data we allow them to collect through our site. These advertisers serve as independent controllers of your personal data.

  1. Business Transfers. Your personal data may be disclosed as part of, or during negotiations of, any merger, sale of company assets or acquisition (including in cases of liquidation) in such case, your personal data shall continue being subject to the provisions of this Privacy Notice.

  1. Your Recordings. Subject to your separate, opt-in consent, we may share some or all of your voice recordings with third parties, including as part of a commercial transaction. These third parties act as independent controllers of your personal data. For more information regarding these independent controllers, please contact us at the email address below. You may revoke your consent at any time by emailing support@voiceitt.com.

  1. Change of Ownership. If we are looking to sell our company, liquidate assets, or merge with another, we may share your personal data with other interested parties as part of negotiations toward that transaction. In such case, or where we do sell our company, your personal data shall continue to be subject to the provisions of this Privacy Notice.

  1. Law Enforcement Related Disclosure. We may share your personal data with government agencies or other relevant parties, such as a law office or independent auditor: (i) if we believe that such disclosure is appropriate to protect our rights, property or safety (including the enforcement of the Terms and this Privacy Notice) or those of a third party; (ii) if required by law or court order; or (iii) as is necessary to comply with any legal and/or regulatory obligations, such as audit requirements. 

  1. International Transfer. Some of our service providers and affiliates are located in countries other than your own. When we transfer your personal data internationally, we will do so safely and securely and in accordance with applicable law.

  1. If you are located in the EU, when we share your personal data with third parties based outside of the European Economic Area ("EEA"), we will ensure that they sign on agreements that require them to comply with applicable law, keep your data secure at similar levels to the level described in this Privacy Notice, and make sure that your data protection rights are protected. We will also implement the following safeguards: 

  1. When we transfer your personal data to Israel or the UK, we rely on the decision by the European Commission that says that those countries are considered to provide an adequate level of data protection.

Where we transfer your personal data to other countries, we (i) take additional security measures to protect the data and (ii) use specific contracts approved by the European Commission, known as the Standard Contractual Clauses, to give your personal data the same protection it has in the EEA.

We have implemented and maintain appropriate technical and organization security measures, policies and procedures designed to reduce the risk of accidental destruction or loss, or the unauthorized disclosure or access to personal data appropriate to the nature of such data. The measures we take include:

  1. Safeguards – The physical, electronic, and procedural safeguards we employ to protect your personal data include secure servers, firewalls, antivirus, and SSL encryption of data.

  1. Access Control – We dedicate efforts for a proper management of system entries and limit access only to authorized personnel on a need to know basis of least privilege rules, review permissions quarterly, and revoke access immediately after employee termination.

  1. Internal Policies – We maintain and regularly review and update our privacy related and information security policies.

  1. Personnel – We require new employees to sign non-disclosure agreements according to applicable law and industry customary practice.

  1. Database Backup – Our databases are backed up on a periodic basis for certain data and are verified regularly. Backups are encrypted and stored within the production environment to preserve their confidentiality and integrity, are tested regularly to ensure availability, and are accessible only by authorized personnel.

However, no method of transmission over the Internet or method of electronic storage is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your personal data, we cannot guarantee its absolute security.

As the security of information depends in part on the security of the computer you use to communicate with us and the security you use to protect user IDs and passwords, please take appropriate measures to protect this information.

  1. Your Rights – How to Access and Limit Our Use of Certain Personal Data. Depending on which laws apply, you have certain legal rights over your data. Below is some general information about rights that may apply to you but we recommend checking the law or consulting with a lawyer to understand what applies in your specific case. To exercise your rights, please contact us at support@voiceitt.com. If you want to exercise your rights regarding your personal data held by other controllers you can contact the applicable controller directly. We may ask for reasonable evidence to verify your identity before we can comply with any request. 

  1. Right of Access. You may have a right to know what personal data we collect about you. We may charge you with a fee to provide you with this information, if permitted by law. If we are unable to provide you with all the information you request, we will do our best to explain why. See Article 15 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Right to Correct personal data. You may request that we update, complete, correct or delete inaccurate, incomplete, or outdated personal data. See Article 16 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Deletion of personal data ("Right to Be Forgotten"). If you are located in the EU, you may have the right to request that we delete your personal data. Note that we cannot restore information once it has been deleted. Even after you ask us to delete your personal data, we may be allowed to keep certain data for specific purposes under applicable law. See Article 17 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Right to Restrict Processing. If you are located in the EU, you may have the right to ask us to stop processing your personal data. See Article 18 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Right to Data Portability. If you are located in the EU, you may have the right to request that we provide you with a copy of the personal data you provided to us in a structured, commonly-used, and machine-readable format. See Article 20 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Right to Object. If you are located in the EU, you may have the right object to certain processing activities. See Article 21 of the GDPR for more details, if your personal data is subject to GDPR.

  1. Withdrawal of Consent. If we are processing your data based on your consent, you are always free to withdraw your consent, however, this won't affect processing we have done from before you withdrew your consent.

  1. Right to Lodge a Complaint with Your Local Data Protection Authority. If you are located in the EU, you have the right to submit a complaint to the relevant data protection authority if you have any concerns about how we are processing your personal data, though we ask that as a courtesy you please attempt to resolve any issues with us first.

  1. We retain your personal data as long as necessary to fulfill each of the purposes we described above. Once we're done with your data, we delete it.

When deciding how long to store personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized access, the purposes for which the personal data was collected, as well as applicable legal requirements. Please note that we may delete information from our systems without notifying you first.
